Information we collect

We only collect information you choose to provide. The primary way we collect information is through our online Ownership Change Request form, where mineral owners (or their representatives) may submit:

  • Contact details — name, mailing address, email address, and phone number
  • Ownership identifiers — owner name of record, owner number, and property/well/lease information
  • Supporting documents you upload — which may include recorded deeds and assignments, IRS Forms W-9, death certificates, affidavits of heirship, probate or trust documents, and entity records
  • An electronic attestation and typed signature confirming your submission is accurate

Sensitive information. Documents you upload may contain sensitive personal information, such as Social Security Numbers or Employer Identification Numbers (for example, on a W-9). Please submit only the documents requested for your specific change type.

How we use your information

We use the information you submit solely to process and administer ownership and division order changes — verifying your request, updating ownership records, ensuring accurate royalty payments, and communicating with you about your request. We do not use this information for marketing.

How your information is handled and protected

Information you submit is transmitted over an encrypted (HTTPS) connection. Our website is hosted by Netlify, and form submissions are processed by Formspree, which delivers your submission and attachments to our Owner Relations team. These providers process data on our behalf under their own security and privacy practices.

Access to submitted information is limited to authorized EnSight personnel who need it to process your request. We maintain reasonable administrative, technical, and physical safeguards to protect the information in our care. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security.

Information sharing

We do not sell your personal information. We share it only:

  • With service providers who help us operate the site and process submissions (such as our hosting and form providers), under appropriate confidentiality obligations
  • With our affiliates and professional advisors (for example, legal or title professionals) as needed to process your request
  • When required by law, regulation, subpoena, or other legal process, or to protect our rights

Data retention

We retain submitted information and documents for as long as necessary to process your request and to meet our business, legal, and tax recordkeeping obligations.
